Host Hotel and events:
To Do’s
* This position will be provided ONE hotel room for the duration of the pageant.
Meals:
- Ask for meal sponsorships and put in reservations at all restaurants
- Check in with restaurants a week before and the day of
- Create order sheets for pre ordering at restaurants
- Pick up menus from each restaurant
- Take pictures with contestants and manager
- Ensure thank you and picture/plaque gets to each restaurant
Host Hotel and events:
- Reserve hotel rooms for contestants, chaperones, pageant staff, and rooms for events
- Create Room List of staff and contestants
- Meet with Hotel to go over all charges and expectations
- Meet with Hotel to go over schedule in detail
- Make sure hotel is posted about
- Reserve all outside venues for events and receive email confirmation
- Organize point person for the event and ensure enough staff will be available to help
- Work with point person to ensure every detail of event is planned
- Coordinate the time for horsemanship in the arena with Garrett/Dale
To Do’s
- Work with contestant director to edit ALL application documents (including pageant schedule) and upload them on the website no later than Oct 1
- Send Judges welcome packet with information and speak with each judge on the phone to answer questions
- Confirm the accountant is available and make arrangements for score sheets to be delivered
- Make sure prizes are acquired and will be available at the pageant (50/50 split between pageant director and sponsorship director)
- Ensure test is done and make any changes year to year
- Set up the night before the pageant
- Order trophies
- Coordinate all decorations for events (even if we have a point person, they often need the MRUSA owned decorations and must have access to them)
- Print all documents
- Score sheets
- State Shirt fan favorites
- Agendas for staff
- Parent docs (updated schedules, etc)
- Silent auction sheets
- Print/Assemble Judges binders with
- Contestant bios, rulebooks, agenda, etc
- Organize first pre-pageant meeting on move in day for staff, volunteers and judges
- Coordinate for a head judge
- Coordinate for van driver/transportation
- Coordinate photographer/videographer
- Coordinate Silent auction
- Appoint a chairperson
- Reach out to other directors for items
- Work with Alumni director to get items from formers
- Work with IPRA Gala coordinator as to what the contestants will do at the gala
- Same goes for the ladies luncheon
- Same for the rodeos (if any special tasks requested such as selling programs, signing autographs, introductions, etc)
- After Pageant:
- Coordinate tear down and move out
- Including all decorations and MRUSA owned items from hospitality room, etc
- Send score sheets to contestants
- Revisit restaurants and deliver pictures and thank you’s
- Work with Treasurer to turn in any extra receipts or bills invoiced after the pageant
- Attend and participate in MAJORITY of phone conferences (approx. 8 per year total)
