Position Description:
*Day one: Run registration table
*Contestant Phone responsibilities (share tasks with Social Media Director):
*Chaperone Duties:
- Field emails on potential contestants in conjunction with Chairman
- Pre-check list to prepare hospitality room decorations, chairs, tables and snack supplies
- Get Credit Card lined up to use if possible or keep receipts organized in separate folder and document each purchase to get reimbursed. (primarily responsibility of the Treasurer)
- Request room locations for chaperones to be close to hospitality room, and on each side of contestant rooms.
- Start memorizing contestant names.
- Collect applications
- Collect money for entries, hotels and ads
- Work with pageant program creator to send contestant ads to
- Connect with all contestants via FB group to field questions after the final deadline and before the pageant begins
- Prepare contestant numbers
- As head chaperone
- Be primary contact for other chaperones (get volunteers, explain expectations, etc)
- Develop a schedule throughout the week to give people time off when needed
- prepare hospitality room, go shopping for supplies including food/snacks.
- Attend any pre meetings for organization.

- Important-add emergency contact number list for chaperones
- Pick up 4 keys per contestant room (Mark with contestant number)
- Bring extra large index cards and coordinate commentary cards from contestants
- Organize contestant order for upcoming events
*Contestant Phone responsibilities (share tasks with Social Media Director):
- Collect and store phones (with charges) in envelopes, one per contestant
- Ensure that guidelines for the cell phone policy has been signed by each contestant
- Distribute to contestants at designated events and collect after period of time set in advance
*Chaperone Duties:
- Being a chaperone means being responsible for each contestant’s whereabouts, protection and needs during the week. It also entails being with each girl when they leave the group from interviews to bathroom breaks. It also may mean having contestants get wake up calls to arriving on time. (Bus driver needs to keep us safe on the trip.
- Attend and participate in MAJORITY of phone conferences (approx. 8 per year total)
